Manual everything. At scale.

Running a service business that manages dozens of associations and thousands of homeowners means processing an enormous volume of repetitive, information-heavy work: invoices arriving in every format imaginable, parking violation photos requiring data entry before BMV registration checks, governing document queries from boards needing cited answers, and a constant outbound communication load that consumed hours of senior staff time daily.

None of this was glamorous work. All of it was necessary. And all of it was being done manually, by humans, at a cost in time and headcount that grew proportionally with every new association added to the portfolio. The business model was fundamentally at odds with itself — growth required more clients, more clients required more staff, more staff ate the margin that justified the growth.

The solution wasn't a software purchase. It was a stack of purpose-built AI-enabled workflows designed to eliminate the manual steps precisely — and keep humans in the loop at exactly the points where human judgment was actually required.

Invoice Ingestion Pipeline
Format-agnostic intake across PDF, image, DOCX, CSV, and XLS via dedicated email inbox. Routing and sorting logic by client and invoice type. Direct CINC Systems API integration for automated data entry. Human approval preserved at payment authorization only.

License Plate Vision System
Batch photo ingestion from parking inspectors. Automated extraction of vehicle make, model, color, and plate number. Spreadsheet generation in Ohio BMV commercial registration request format. Eliminated manual photo review and data entry entirely.

Per-client siloed document corpora with explicit hallucination guardrails: if the answer isn't in the corpus, the system says so and does not invent one. The earliest iteration of what became BoardPath's architecture.

Human-in-the-loop wasn't optional. It was the design.

Every system in the P2P automation stack was built with a deliberate human checkpoint. Invoices were processed automatically — but payments required human authorization. Parking violations were extracted automatically — but assessments were reviewed before issuance. Correspondence was drafted automatically — but sent only after human review and approval.

Design Principle — Where Humans Stay

The question I asked for every workflow was: where does a mistake here create a consequence that can't be undone? Financial disbursement. Client communication. Regulatory submissions. Those are the points where humans stay in the loop — not because the AI can't handle them, but because the accountability for those decisions needs to remain with a person. Everything else is automatable. The design discipline is knowing the difference.

The honest version.

The governing document Q&A system was deployed too early to an audience that wasn't ready for it. The technology worked. The rollout failed because I underestimated how much change management work was required to get non-technical board members and staff to trust AI output — even when it was accurate, cited, and explained. I built the system first and thought about adoption second. That's backwards.

The correspondence companion's recursive learning loop was promising but underbuilt at the time. I didn't know what I didn't know about retrieval-augmented self-improvement. If I were building it today, I would architect it as a proper RAG system with structured knowledge base writes, retrieval validation, and quality gates on what gets added to the corpus. The version I shipped was directionally right and architecturally rough.

These were the right problems to be solving. The execution reflected where I was in my technical development at the time. The platforms I'm building now reflect where I am now.
